Welcome to the AUP Portal This guide walks you through every screen in the portal — what it does, how to use it, and what to click. You don't need to read it front to back. Jump to the section you need using the Table of Contents below.

Logging In

The starting point every time you open the portal.

Open a browser and go to the portal URL. You'll land on the login screen. Enter your KEJ email address and password, then click Sign In.

Bookmark the URL Save aup-portal-iota.vercel.app as a browser bookmark so you can open it with one click every morning.

Wrong password? The portal shows a red error message under the form. Double-check that Caps Lock is off. If you're still locked out, contact David Ortiz to reset your credentials.

Season Grid — Your Home Screen

An at-a-glance view of all schools for the current season.

The Season Grid is the first screen you see after logging in. It shows every school in a spreadsheet-style table so you can quickly spot what needs attention — who's missing bank ratings, who hasn't been visited, who's gone quiet.

Understanding the Summary Cards

Five cards at the top give you the season at a glance: Total Schools, Visits Complete, Bank Ratings Pulled, In Progress, and Complete. Each number reflects live data from Supabase.

Filter Chips — Finding What Needs Attention

The four chips above the table let you instantly filter down to exactly what needs action:

You can also type a school name or DOE number into the search box on the right to find a school instantly.

Opening a School

Click anywhere on a school's row — the whole row is clickable. The Open › link in the last column is just a visual cue.

School List (Card View)

An alternate way to browse and open schools.

Click ≡ School List in the top navigation to switch to the card view. Each school appears as its own card showing name, status, document progress, visit status, and bank rating. Click any card to open that school's binder.

When you hover over a card, its border turns blue to confirm it's clickable. The card view and the Season Grid show the same data — use whichever layout you prefer.

Opening a School's Binder

The main workspace for each school's engagement.

When you click a school, you enter its binder. This is organized exactly like Pam's physical binder — the same numbered tabs down the left side, with each tab's contents on the right.

Navigating the Left Sidebar

The left sidebar lists all document sections. Each tab has a small color-coded square:

Gray — Not Started

No documents received for this tab's items.

Yellow — Partial

Some items received, but not all.

Green — Complete

All items in this tab are accounted for.

Item Count

Below each tab name: a small count like 2/5 items shows how many are received vs. total.

Click ‹ All Schools in the top nav to return to the Season Grid.

Milestone Flags

Track visit completion, student sample, and bank rating status.

At the top of every school's binder, three toggle buttons let you mark major milestones. These feed back into the Season Grid so the whole season's progress is visible from the home screen.

○ / ✓ Visit Done

Click to mark the in-person student verification visit completed. Click again to uncheck if needed.

○ / ✓ Sample Pulled

Click to mark that the random student sample has been generated and documented.

○ / ✓ Bank Rating

Click to mark the Bauer Financial rating confirmed. (Also updates automatically from inside Tab 3A.)

Each toggle saves instantly — no Save button. When it turns green with a ✓, the change is recorded.

Working Through the Binder Tabs

Reviewing and marking items received in each document section.

When you click any binder tab in the left sidebar, the right panel shows every item in that section — who's responsible for it, its status, and any matched uploaded files.

What the Labels Mean

Every item has a small colored tag showing who is responsible:

School

The school needs to send this document.

KEJ

Your firm handles this. These auto-count as received.

Both

Both the school and firm contribute.

Marking an Item Received

Two ways to mark received An item shows as received either because the school uploaded it through the portal (the file appears below the item name), or because you clicked "Mark Received" manually. Both count the same way.

Bank Rating Lookup (Tab 3A)

Look up Bauer Financial star ratings without leaving the portal.

Tab 3A has a built-in bank rating tool that searches the FDIC and NCUA databases to find each bank and generate a direct link to its Bauer Financial rating report.

The bank rating rule: Ratings must be 4 stars or 5 stars. The rating attachment is only included in the final report if any account's average daily balance exceeds $250,000. A rating below 4 stars must be flagged for Keith immediately.

Below 4 stars? A red warning banner appears immediately. Flag for Keith before filing — do not proceed.

Bank not found? Try a slightly different spelling or abbreviation. If still not found, click Open Bauer Financial ↗ to search manually, then enter the rating by clicking the stars.

School Calendar Analysis (Tab 6B)

Upload the school calendar and count instructional days automatically.

Tab 6B handles the school calendar requirement. Once the school submits their academic calendar, the portal can automatically count instructional days and verify the school meets the 170-day minimum.

Count looks off? Click Re-analyze or review the month-by-month breakdown manually. The automated count is a starting point — always verify anything that looks unusual before filing.

Binder Progress Checklist

A full inventory of every item across all tabs in one place.

Click ☑ Progress at the bottom of the left sidebar to open the consolidated checklist. Every single required item across all document sections appears here with its current status — perfect for a quick end-of-day check or when Keith asks "where are we?"

The overall progress bar at the top shows your percentage toward completion. Each section below it collapses the items inside and shows the count — green header means that tab is done, yellow means partial. Items marked with ✓ are received; ○ means still outstanding.

Communication Log (Internal Notes)

A running record of calls, emails, and visits — firm eyes only.

The Comm Log is a private notes section attached to each school. Schools cannot see this. Use it to record anything you'd write on a sticky note or legal pad — phone calls, visit notes, follow-up decisions, anything Keith might ask about later.

Private by design Comm Log notes are only visible to KEJ firm users. Schools log in through a completely separate portal and cannot see any of these notes.

Draft a Status Email to a School

Generate a ready-to-send document request email in seconds.

From inside any school's binder, click ✉ Draft Status Email in the header. The portal instantly generates a formatted status email showing which documents are still needed and which have been received — organized by binder tab, ready to paste into Gmail or Outlook.

The portal never sends email for you The draft is for your review. You paste it into Gmail or Outlook and send it yourself. Nothing goes out automatically.

Generate the AUP Report

Produce a print-ready AUP report draft for Keith to review.

When a school's binder is sufficiently complete, click the 📋 Generate AUP Report button in the header. The portal assembles a structured report using the documents and data collected for that school.

This is a starting point, not a finished report The generated report pre-fills what it can from the portal's data. Keith still reviews, finalizes, and signs. Think of it as having the report 80% done before Keith even opens it.

The School-Side Portal (What Schools See)

Understanding the experience when a school logs in.

Each school has its own separate login. When a school logs in, they see a much simpler portal with two tabs: Upload Documents and Document Status. They cannot see any other school, cannot see your Comm Log, and cannot see any firm-side information.

Upload Documents tab: Schools drag and drop files onto the upload zone, or click Choose Files. The portal automatically identifies most documents by filename. The school confirms the label and clicks Upload.

Document Status tab: Shows every required document organized by binder tab, with green or yellow indicators showing who is responsible. Schools use this to see what they still need to send.

Schools that prefer to email documents If a school sends documents by email rather than through the portal, mark them received manually from your side (Section 6). Both methods track the same way.

Things to Keep in Mind

🔒
The Communication Log is firm-only. Schools can never see your notes.
💾
Everything saves automatically. There are no Save buttons — changes take effect the moment you click.
📧
The portal never sends email for you. "Draft Status Email" creates a draft you copy and send yourself from Gmail or Outlook.
Bank ratings must be 4 or 5 stars. If you see 3 or below, flag for Keith immediately before filing.
📅
The hard deadline is November 1. Aim for the September 15 soft deadline to leave buffer time.
